About

Al-Quba Scientific Bureau for Drug Promotion & Medical Appliances operates in the Iraqi market as an authorised agent for leading international companies in pharmaceuticals, laboratory supplies and diagnostic devices.

Based on the approved organisational structure of the bureau, daily duties and responsibilities are distributed across five main departments, to streamline workflows and define each manager's authority precisely.

Daily duties are distributed across the departments below, so every file has one clear owner.

Human Resources Department

The HR Manager is fully responsible for managing personnel and maintaining a productive work environment:

  • Recruitment: Managing interviews and selecting qualified candidates, with a strong focus on hiring skilled pharmacists and medical representatives who hold established relations within the market.
  • Training: Organising continuous training workshops for medical representatives on drug scientific data, product updates, and effective communication with physicians and pharmacies.
  • Performance evaluation: Tracking field reports submitted by medical representatives and evaluating their productivity periodically, so the bureau's sales goals are consistently achieved.

Operations & Logistics Department

Directly handles the physical inventory flow, daily internal maintenance and domestic supply fulfilment:

  • Administration: Supervising the internal daily routine and handling any operational issues arising within the bureau's sub-units.
  • Logistics: Planning and scheduling the movement of delivery vehicles so that orders reach distributors, warehouses and pharmacies on time.
  • Procurement: Sourcing and managing local purchasing for all operational tools, office supplies and equipment the staff need to execute their work.
  • Warehousing: Monitoring the warehouse or store, ensuring strict compliance with drug regulatory requirements on temperature control, cooling systems and humidity levels to preserve item integrity.

Financial Department

Responsible for overseeing financial accounts, controlling cash flows and managing the bureau's books:

  • Accounting: Recording daily credit and debit transactions, and managing outstanding post-paid accounts with wholesale stores and clients.
  • Payroll: Preparing monthly staff salaries and processing commissions and incentive distributions for the sales and promotion teams accurately.
  • Budgeting: Distributing available financial resources and allocating the cash flow needed for operations, field campaigns and import shipments.
  • Financial auditing: Reviewing invoices and receipts continuously to ensure figures match and to prevent any financial waste.

International Relations Department

Manages international trade files, correspondence with foreign manufacturers, and local government compliance:

  • Regulatory affairs & drug control: Handling registration procedures for the scientific bureau, foreign manufacturing sites and medical products at the Ministry of Health and the Pharmacists' Syndicate, including licence renewals.
  • Import management: Direct communication with foreign pharmaceutical plants and suppliers, managing purchase orders and arranging letters of credit.
  • Shipping: Partnering with international freight forwarders to track and receive sea, air and land shipments securely.
  • Customs clearance: Handling customs paperwork at borders and ports, and facilitating product sampling for laboratory analysis by quality control authorities.

Business Development Department

Focuses on expanding the bureau's commercial footprint and securing future trade partnerships:

  • Market research: Monitoring trends within the Iraqi pharmaceutical market to identify shortages and evaluate what physicians and pharmacies need, so the bureau can launch high-demand products.
  • Strategic marketing: Designing long-term marketing frameworks and promotional campaigns, and managing sponsorships for medical conferences and scientific print materials.
  • Contracts: Drafting and reviewing the legal and commercial terms of agreements signed with local distributors and trade partners.
  • Agreements: Negotiating with global pharmaceutical companies to secure new exclusive agency and distribution rights that diversify the bureau's product portfolio.
